1. ABOUT VOIIROOM
Voiiroom is a voice-first social networking service that allows users to create and share short voice posts, interact with other users, participate in temporary voice conversations, exchange direct messages, and use other social features.

In this Privacy Policy, "Voiiroom", "we", "us", and "our" refer to Melodic Link Limited when operating the Voiiroom service.
2. SCOPE OF THIS PRIVACY POLICY
This Privacy Policy explains:
- what personal information Voiiroom collects;
- how and why we use it;
- who information may be shared with;
- how long information is retained;
- how artificial intelligence and automated processing are used;
- what happens to content after it expires or an account is deleted; and
- the privacy rights available to users.
This Policy applies to the Voiiroom application, the Voiiroom website, and services operated in connection with Voiiroom.
3. INFORMATION WE COLLECT
3.1 Account Information
When you create or maintain a Voiiroom account, we may collect information such as:
- your email address;
- username;
- display name;
- profile photograph;
- profile information you choose to provide;
- account authentication information;
- language preferences; and
- account settings.
Voiiroom currently supports account registration using an email address and password.
If third-party login options such as Sign in with Apple or Google Sign-In are introduced in the future, we may receive information from those services in accordance with the information you choose to share and the provider's applicable privacy settings.
4. CONTENT YOU CREATE
Voiiroom processes information that you create, upload, send, or share through the service.
This may include:
- Voiis, which are short voice posts;
- photographs or GIFs attached to Voiis;
- voice replies;
- reactions and other interactions;
- messages and audio sent through direct messaging;
- voice content shared within Voiirooms;
- generated Voii Clips; and
- information submitted when reporting content or another user.
Voice recordings constitute user-generated content.
We do not use your voice to create biometric voiceprints or to identify you through voice recognition.
5. SOCIAL AND ACTIVITY INFORMATION
We may process information relating to how you use Voiiroom, including:
- accounts you follow;
- accounts that follow you;
- Voiis you interact with;
- voice replies you make or receive;
- reactions;
- public or private Voiirooms you participate in;
- content categories;
- selected languages;
- interactions used to operate or improve feeds and content discovery; and
- reports, blocks, and moderation actions.
This information may be used to provide features such as Following, Discovery, search, content categorisation, and recommendations.
6. TECHNICAL INFORMATION
Voiiroom and the infrastructure providers used to operate the service may process technical information necessary to deliver, secure, and maintain the service.
This may include:
- IP address;
- device type;
- operating system;
- app or browser version;
- timestamps;
- network or request information;
- security logs; and
- server and operational logs.
Voiiroom does not currently use third-party behavioural advertising SDKs or dedicated third-party analytics or crash-tracking SDKs.
Operational information may nevertheless be processed by infrastructure providers where necessary to host, secure, and deliver the service.
7. DEVICE PERMISSIONS
Certain Voiiroom features require access to capabilities on your device.
Microphone
Microphone access is required when you choose to record Voiis, voice replies, direct voice messages, or voice content within Voiirooms.
Photos and Media
Photo or media-library access may be requested when you choose to add or select an image or other supported media for a Voii.
Notifications
If you enable notifications, Voiiroom may send service notifications such as replies, messages, account activity, Voiiroom invitations, or other relevant activity.
You can control these permissions through your device settings.
Contacts
Voiiroom does not currently access or upload your device address book or contacts.
Your email address provided when creating an account is account contact information and is not access to your device's Contacts application.
Location
Voiiroom does not currently request or collect precise device location information.
8. VOIIS AND 24-HOUR CONTENT
Voiis are designed to remain active for approximately 24 hours.
After a Voii expires, it is removed from normal availability within the Voiiroom service.
Underlying media may remain within technical storage for a short additional period while automated deletion, processing, caching, backup, or cleanup operations are completed.
We aim to remove expired media as soon as reasonably practicable and do not intend to use Voii expiry as a means of retaining content indefinitely.
Users should understand that another person may have seen, recorded, downloaded, or otherwise copied content before it expired.
Voiiroom cannot control copies independently made by other users or third-party services.
9. VOII CLIPS
Voiiroom allows active Voiis to be converted into an MP4 format known as a Voii Clip, including for downloading or sharing content to other platforms.
Backend processing may be performed using Google Cloud, and generated media may be temporarily stored and delivered using bunny.net.
Voii Clips are not intended to be retained permanently.
They will normally be removed after the related Voii expires, although generated files may remain in storage for a short additional period while automated processing, delivery, or cleanup operations are completed.
We periodically remove expired generated media to minimise unnecessary data retention and storage.
If you share or upload a Voii Clip to another social network or service, the copy held by that third party will be governed by that third party's own terms and privacy practices.
Voiiroom cannot remove copies that you or another person have independently shared outside Voiiroom.
10. VOIIROOMS
Voiirooms are temporary voice-based spaces that may be public or private.
A Voiiroom may remain active for up to approximately 60 minutes.
Voice content posted within a Voiiroom is designed to be deleted when the Voiiroom ends, subject to short-lived technical processing, security, backup, or deletion operations where applicable.
Public Voiirooms may be discoverable by other Voiiroom users.
Private Voiirooms are intended to be accessible only to invited or authorised participants.
11. DIRECT MESSAGES
Voiiroom allows users to exchange direct messages, which may include text and voice content.
Direct messages are intended to remain available within users' inboxes unless deleted.
Deleting a conversation from your own inbox may not automatically delete the same conversation from another participant's inbox.
If all relevant copies are deleted, the messages may subsequently be removed from active systems, subject to normal technical backup, security, and legal-retention processes.
Direct messages should not be considered end-to-end encrypted unless Voiiroom expressly states otherwise within the service.
Users should therefore avoid sending information through direct messages that they would not want processed as part of an online communications service.
12. ACCOUNT DELETION
Voiiroom allows users to initiate deletion of their account within the application through the account settings.
When an account is deleted, we will delete the account and personal data associated with it that we are not legally required or otherwise permitted to retain.
This includes, where applicable:
- profile information;
- email and account information;
- active Voiis;
- uploaded media;
- voice replies and other user-generated content associated with the account;
- remaining generated Voii Clips; and
- other account-associated personal information.
Some limited information may be retained where necessary for legal obligations, security, fraud prevention, dispute resolution, or enforcement of our rights.
Information may also remain temporarily in technical backups before being overwritten or deleted through normal backup cycles.
13. ARTIFICIAL INTELLIGENCE AND AUTOMATED PROCESSING
Voiiroom uses automated processing to help understand and categorise Voiis.
For example, a Voii may be automatically analysed to determine a general topic or category such as music, entertainment, sport, relationships, or another relevant subject.
For this purpose, the audio may be temporarily processed through a machine-readable representation or transcription where necessary.
Any temporary transcription created solely for categorisation:
- is not intended to be displayed publicly as part of the Voii;
- is used to assist with understanding or categorising the content;
- is not used by Voiiroom to create biometric voice profiles; and
- is not used to train AI models by Voiiroom or the AI provider used for this functionality.
Voiiroom currently uses infrastructure and AI functionality made available through Base44 for relevant application and automated-processing functions.
Automated categorisation is not intended to make decisions that produce legal or similarly significant effects on users.
We do not intentionally use voice analysis to infer highly sensitive characteristics such as medical conditions, religion, sexual orientation, or political beliefs for advertising purposes.
14. GIFS AND GIPHY
Voiiroom uses GIPHY to provide GIF search and selection functionality.
When you interact with GIPHY functionality, information such as your search request, IP address, device information, or other technical information may be transmitted to or processed by GIPHY in accordance with GIPHY's own privacy practices and the way its technology is integrated into Voiiroom.
We recommend reviewing GIPHY's privacy information if you use this feature.
15. WHY WE USE PERSONAL INFORMATION
We may use personal information to:
- create and manage Voiiroom accounts;
- authenticate users;
- provide Voiis and voice-recording functionality;
- deliver images, GIFs, and other media;
- operate Following and Discovery feeds;
- provide direct messaging;
- provide public and private Voiirooms;
- generate and deliver Voii Clips;
- categorise content;
- provide search and discovery;
- remember language and account preferences;
- deliver service and account communications;
- keep Voiiroom secure;
- detect or investigate abuse, spam, or suspicious behaviour;
- moderate content;
- process reports and blocks;
- enforce our Terms and Community Guidelines;
- respond to support and privacy requests;
- comply with legal obligations;
- establish, exercise, or defend legal rights; and
- maintain and improve the reliability and operation of the service.
16. LEGAL BASES FOR PROCESSING
Where the UK GDPR, EU GDPR, or another applicable data protection law applies, we rely on one or more lawful bases depending on the processing involved.
These may include:
Performance of a Contract
Where processing is necessary to provide the Voiiroom service requested by you, such as maintaining your account, publishing Voiis, or delivering messages.
Legitimate Interests
Where reasonably necessary to operate, secure, moderate, protect, and improve Voiiroom, provided those interests are not overridden by your rights and interests.
Consent
Where consent is legally required for a particular type of processing.
Device permissions such as microphone, photo-library, and notification access are separately controlled through your device's operating-system permissions.
Legal Obligation
Where processing is necessary to comply with applicable law.
Legal Claims and Safety
Where information must be processed to establish, exercise, or defend legal rights, prevent abuse, investigate misconduct, or protect users and the service.
Where applicable law requires another legal basis or condition, we will apply it.
17. SENSITIVE INFORMATION
Because Voiiroom allows people to speak freely and create their own content, users may voluntarily disclose information through their Voiis, messages, or other content that could be considered sensitive under data protection law.
Voiiroom does not require users to provide sensitive personal information in order to use the service.
You should carefully consider what you choose to disclose, particularly in public Voiis or public Voiirooms.
Where sensitive information is processed, we will handle it in accordance with applicable law and only for purposes relevant to providing, protecting, or legally operating the service.
18. PUBLIC CONTENT
Information posted to public areas of Voiiroom can be seen or heard by other users.
Depending on the feature, this can include:
- public Voiis;
- usernames and profile information;
- attached images or GIFs;
- voice replies;
- reactions; and
- public Voiiroom participation.
Do not publish information publicly that you would not want other people to access.
Even where content disappears from Voiiroom after a limited period, other users may have independently copied or shared it.
19. HOW WE SHARE INFORMATION
We do not sell personal information.
We may share or make personal information available to service providers where necessary to operate Voiiroom.
These currently include services such as:
Base44
Application infrastructure and relevant automated or AI processing.
Google Cloud
Backend processing used for functions including generating Voii Clip media.
bunny.net
Temporary media storage, delivery, and related infrastructure for generated Voii Clips.
GIPHY
GIF search and media functionality.
These companies may process information according to their role, contractual terms, and applicable privacy obligations.
We may also disclose information:
- where required by law, court order, or lawful government request;
- to protect users, Voiiroom, Melodic Link Limited, or others;
- to investigate fraud, abuse, security incidents, or illegal activity;
- in connection with professional legal or regulatory advice; or
- in connection with a merger, acquisition, sale, restructuring, or transfer of some or all of the business, subject to appropriate protections.
20. ADVERTISING, TRACKING, AND SALE OF PERSONAL DATA
Voiiroom does not currently operate third-party behavioural advertising within the app.
We do not currently use advertising SDKs to track users across unrelated apps or websites for targeted advertising.
We do not sell personal information for money.
If Voiiroom introduces advertising, tracking, or materially different commercial uses of personal information in the future, this Privacy Policy and applicable privacy disclosures will be updated as required by law.
21. EMAILS AND COMMUNICATIONS
Voiiroom currently uses email for service and account-related purposes rather than general promotional marketing.
Examples may include:
- account verification;
- password or security communications;
- important account notices;
- support responses; and
- privacy or safety communications.
If promotional or marketing emails are introduced in the future, users will be provided with the choices required by applicable law.
22. DATA RETENTION
We retain information only for as long as reasonably necessary for the purposes for which it is processed, including legal, security, and operational requirements.
Different types of information have different retention periods.
For example:
- Voiis: normally available for approximately 24 hours.
- Voii Clips: temporary and normally removed after the related Voii expires, subject to a short cleanup period.
- Voiiroom voice content: normally removed when the temporary Voiiroom ends.
- Direct messages: retained while they remain within users' conversations, subject to deletion.
- Account information: generally retained while an account remains active.
- Safety and moderation records: may be retained for longer where necessary to investigate abuse, enforce rules, protect users, or comply with legal obligations.
- Technical backups: may temporarily contain information after deletion until overwritten through normal backup processes.
We regularly review storage practices and aim not to retain personal data for longer than reasonably necessary.
23. INTERNATIONAL DATA TRANSFERS
Melodic Link Limited is based in the United Kingdom.
Voiiroom is intended to be accessible internationally, and some service providers or their infrastructure may process information outside the country in which a user is located.
Where data protection law requires safeguards for an international transfer, we use or require appropriate lawful safeguards.
These may include:
- adequacy regulations or adequacy decisions;
- Standard Contractual Clauses;
- the UK International Data Transfer Agreement;
- the UK Addendum to Standard Contractual Clauses; or
- another legally recognised transfer mechanism.
24. SECURITY
We use reasonable technical and organisational measures intended to protect personal information against unauthorised access, loss, misuse, alteration, or disclosure.
These measures may include access controls, secured infrastructure, and technical safeguards provided by the platforms on which Voiiroom operates.
No online service can guarantee absolute security.
Users are responsible for protecting their account credentials and should notify us if they believe their account has been accessed without permission.
25. YOUR PRIVACY RIGHTS
Depending on where you live, you may have legal rights relating to your personal information.
These may include the right to:
- request access to personal information;
- request correction of inaccurate information;
- request deletion of personal information;
- object to certain processing;
- request restriction of processing;
- request transfer or portability of certain information;
- withdraw consent where processing is based on consent; and
- complain to a data protection authority.
These rights are subject to the conditions and exceptions contained in applicable law.

Users in the United Kingdom also have the right to raise concerns with the Information Commissioner's Office (ICO).
Users in the European Economic Area may have the right to complain to the data protection supervisory authority in the country where they live, work, or where they believe an infringement occurred.
26. CHILDREN AND AGE REQUIREMENTS
Voiiroom is intended for users aged 13 or older, or any higher minimum age required by applicable law in the user's location.
Children below the applicable minimum age are not permitted to create or use a Voiiroom account.
If we become aware that personal information has been collected from a child who is not permitted to use Voiiroom, we will take appropriate steps to remove the information and account.
We may use age-assurance or age-range information to provide age-appropriate experiences and comply with legal requirements.
Additional privacy and safety measures may apply to teenage users.
27. MODERATION, REPORTING, AND BLOCKING
Voiiroom may use technical and human measures to moderate the service and enforce our Terms and Community Guidelines.
Users may be able to:
- report content;
- report other users;
- block other users; and
- restrict unwanted interactions.
Information connected with a report or moderation action may be retained where reasonably necessary to investigate the matter, protect users, prevent repeated abuse, comply with law, or enforce Voiiroom's rules.
28. CHANGES TO THIS PRIVACY POLICY
Voiiroom will continue to develop, and our privacy practices may change as new features, technologies, countries, or service providers are introduced.
We may update this Privacy Policy from time to time.
Where changes are significant, we will take reasonable steps to notify users as required by applicable law.
